Why community engagement data matters
Community engagement increasingly shapes educational programs and policies, with community members providing valuable insights that help education agencies identify needs, generate ideas, and confirm whether participants’ experiences match what the agency intended. As leaders balance competing priorities with expectations for transparency and responsiveness, community engagement data offer practical ways to inform decisions without overextending education agency staff or straining resources.
Examples of engagement data include:
- Input from town hall meetings to determine families’ top priorities for a new preschool program.
- Surveys to determine tutors’ experience with literacy trainings.
- Online forms to gather input from students and employers for career and technical work-based learning opportunities.
Education and other child- and family-serving agencies need to know how to engage communities effectively, collect meaningful data, and turn that information into practical improvements. With so many engagement strategies available, agencies are often overwhelmed by the volume and variety of data they gather. If leaders don’t manage the process well, teams may leave data unused and miss opportunities to build trust and act on input from community partners.

Background
This work began in REL Northwest’s partnership with the Oregon Department of Education, initially focused on analyzing qualitative community engagement data related to the state’s K–5 literacy framework. REL Northwest’s resource collection expanded as we recognized more widespread needs in the field for practical assistance to effectively collect, analyze, and make use of community engagement data.
Moving from data to action
Harnessing community engagement data effectively requires creating a clear process that helps establish trust and collaboration with the community. Agencies that approach this work thoughtfully are better equipped to build credibility with their communities, incorporate community members’ lived experiences into decisionmaking, and ensure education systems respond to real needs. Importantly, acting on feedback in visible ways demonstrates genuine respect for participants’ input and grows trust. The guide offers a pathway for agencies to deepen their community engagement in ways that are manageable, adaptable, and impactful.
